Job Opening: Executive Assistant to the Vice President for Academics/Dean of Faculty

The Pentecostal Theological Seminary announces the following full-time position (40 hours/week).  The hire date will be approximately June 1.  The compensation and benefits for this position will be discussed during the interview process.

Core responsibilities: 

  • Manage the office support staff for effective accomplishment of projects.
  • Schedule appointments, make travel plans, and maintain the professional calendar of the VPA.
  • Maintain all academic files and business records in the VPA office.
  • Serve as the primary communications liaison for the VPA.
  • Maintain an up-to-date list of faculty information.
  • Prepare and disseminate the class schedule and academic calendar under the direction of the VPA.
  • Assist the VPA in preparing agendas and record the minutes as assigned.
  • Ensure the timely submission of syllabi, grades, and any other academic components.
  • Prepare faculty contracts.
  • Track faculty load.
  • Assist the VPA with faculty retreats or conferences.
  • Participate in Graduation preparation and exercises.

Required Education and Experience

  • Accredited Bachelor’s degree
  • Previous experience in office management reporting to Executive Team member
  • Knowledge of Microsoft Office & Cloud based Applications.

Preferred Education and Experience

  • Accredited Master’s degree
  • Bilingual (English/Spanish)
  • Proficient in the use of Google shared drives/folders and Google Apps
  • Previous experience in office management reporting to Executive Team member in higher education
